Please read these terms and conditions carefully before booking with us.

These Terms & Conditions apply to all bookings and services provided through BELGIUM PRIVATE TOURS, including private tours, chauffeur services, transfers, transportation services and bus or coach tours.

By making a booking with BELGIUM PRIVATE TOURS, the customer confirms that they have read, understood and accepted these Terms & Conditions.

2. Scope of Services

BELGIUM PRIVATE TOURS provides private transportation and tourism-related services, primarily departing from Brussels and serving destinations in Belgium and neighbouring countries.

Our services may include:

  • Private sightseeing tours
  • Private chauffeur-driven tours
  • Airport and hotel transfers
  • Intercity transportation
  • Event transportation
  • Hourly chauffeur services
  • Customized private journeys
  • Bus and coach transportation
  • Other services specifically described on our website or booking confirmation

Unless expressly stated otherwise in the relevant service description, our private tours are private chauffeur-driven experiences.

A chauffeur is responsible for transportation and the safe operation of the vehicle. A chauffeur is not automatically a licensed professional tour guide.

Where a professional guide, entrance ticket, meal or other service is included, this will be expressly indicated in the relevant tour description or booking confirmation.

3. Booking & Contract

A booking request submitted through our website, by email or through another booking channel does not automatically constitute acceptance by BELGIUM PRIVATE TOURS.

A booking becomes confirmed when BELGIUM PRIVATE TOURS has accepted the reservation and the required payment has been successfully received, where payment is required in advance.

The booking confirmation constitutes an important part of the agreement between the customer and BELGIUM PRIVATE TOURS.

The customer is responsible for checking the booking confirmation immediately after receipt.

Any error concerning the date, time, number of passengers, pick-up location, destination or other important booking information must be reported to us as soon as possible.

4. Customer Information

The customer must provide accurate and complete information when making a booking.

This may include:

  • Full name
  • Telephone number
  • Email address
  • Pick-up address
  • Drop-off address
  • Travel date
  • Departure time
  • Flight information
  • Number of passengers
  • Luggage requirements
  • Child passenger information
  • Accessibility requirements
  • Other information necessary to perform the service

BELGIUM PRIVATE TOURS shall not be responsible for additional costs, delays or inability to provide the service resulting from incorrect, incomplete or outdated information supplied by the customer.

5. Prices

All prices displayed on our website are in euros unless expressly stated otherwise.

The price applicable to a booking is the price confirmed at the time of booking.

Unless expressly stated otherwise, the price covers only the services and inclusions described in the relevant tour or booking confirmation.

Depending on the service, additional expenses may include:

  • Entrance tickets
  • Meals and drinks
  • Personal expenses
  • Optional activities
  • Additional waiting time
  • Additional hours
  • Additional stops
  • Changes to the agreed itinerary
  • Services requested after confirmation

Where additional charges are applicable, we will inform the customer where reasonably possible.

6. Payment

Payment must be made using the payment method offered during the booking process or specified in the booking confirmation.

Where full payment is required in advance, the booking is not considered fully confirmed until payment has been successfully received.

Where payment on board, on arrival or by another agreed method is offered, the customer remains responsible for payment of the full confirmed amount.

Failure to make a required payment may result in cancellation of the booking.

7. Cancellation by the Customer

Our standard cancellation policy is as follows.

7.1 Private Tours & Chauffeur Services

For private tours and chauffeur services:

  • More than 48 hours before the scheduled departure: the customer may cancel the booking and receive a full refund.
  • Within 48 hours of the scheduled departure: the booking is non-refundable.

7.2 Bus & Coach Tours

For bus and coach tours:

  • More than 7 days before the scheduled departure: the customer may cancel the booking and receive a full refund.
  • Within 7 days of the scheduled departure: the booking is non-refundable.

7.3 Specific Cancellation Conditions

Where a particular tour, event or booking confirmation expressly states different cancellation conditions, those specific conditions shall apply to that booking.

The applicable cancellation policy will be displayed on the relevant booking page or communicated with the booking confirmation.

Cancellation requests must be submitted in writing by email.

The cancellation time is the time at which the written cancellation request is received by BELGIUM PRIVATE TOURS.

8. No-Show

A customer who fails to appear at the agreed pick-up location without prior notice may be considered a no-show.

A no-show is non-refundable.

The same principle may apply where a customer is unreachable and the agreed waiting period has expired.

The customer is responsible for providing a valid telephone number and remaining reasonably reachable on the day of the service.

9. Late Arrival

Customers are responsible for arriving at the agreed meeting point at the scheduled time.

If the customer arrives late, the driver will make reasonable efforts to provide the service, subject to availability.

Where a tour has a fixed duration, a late departure does not automatically extend the scheduled end time.

Additional time may be offered where possible and may be charged separately.

A customer arriving late cannot automatically claim a reduction in price or refund for time lost due to their own delay.

10. Airport Transfers

For airport transfers, the customer must provide accurate flight information when requested.

Where flight monitoring is included in the service, BELGIUM PRIVATE TOURS may monitor the flight using the information supplied by the customer.

Customers remain responsible for providing correct flight details.

Changes to flight numbers, airports, arrival times or destinations should be communicated to us as soon as possible.

Flight delays do not automatically constitute a cancellation by the customer.

Any waiting-time conditions applicable to the booking will be specified in the booking confirmation or service description.

11. Waiting Time

Any complimentary waiting period included in a booking is limited to the period expressly stated in the booking conditions.

Additional waiting time may be charged at the applicable rate.

The customer may request additional waiting time, subject to driver and vehicle availability.

Where a delay is caused by circumstances attributable to the customer, such as delayed disembarkation, baggage collection or failure to reach the meeting point, the applicable waiting-time conditions may apply.

12. Changes to a Booking

Customers may request changes to a confirmed booking.

Changes may include:

  • Date
  • Time
  • Pick-up location
  • Drop-off location
  • Number of passengers
  • Vehicle category
  • Destination
  • Itinerary
  • Duration

All changes are subject to availability.

Additional charges may apply.

A significant change requested close to the departure time may be treated as a cancellation of the original service and a new booking.

BELGIUM PRIVATE TOURS does not guarantee that requested changes can be accommodated.

13. Itinerary & Tour Duration

Tour itineraries displayed on the website are intended to describe the planned experience.

The actual sequence of visits may be adjusted where reasonably necessary due to:

  • Traffic
  • Road closures
  • Weather
  • Public events
  • Construction
  • Security restrictions
  • Local regulations
  • Opening hours
  • Availability
  • Delays
  • Other circumstances outside our reasonable control

Where an attraction or location becomes inaccessible, BELGIUM PRIVATE TOURS may, where reasonably possible, propose an alternative.

No refund is automatically due where a minor itinerary adjustment is necessary and the overall nature of the service remains substantially unchanged.

14. Traffic & Travel Times

Estimated journey times shown on the website or communicated before the booking are estimates only.

Actual travel times may vary significantly due to traffic, accidents, roadworks, weather, events, border controls or other circumstances.

BELGIUM PRIVATE TOURS does not guarantee a specific arrival time unless a specific arrival guarantee has been expressly agreed in writing.

Customers should allow sufficient time when connecting to flights, trains, cruises, meetings or other time-sensitive activities.

15. Vehicles

The vehicle category selected at the time of booking is subject to availability.

Where necessary, BELGIUM PRIVATE TOURS may provide an equivalent or upgraded vehicle.

Vehicle photographs displayed on the website are illustrative and may not represent the exact vehicle used for a particular booking.

The maximum passenger and luggage capacity of the selected vehicle must not be exceeded.

BELGIUM PRIVATE TOURS may refuse to transport passengers or luggage where doing so would compromise legal capacity or safety requirements.

16. Luggage

Customers must provide accurate information concerning the amount and type of luggage when booking.

Luggage must fit safely within the vehicle's available capacity.

Oversized, unusually heavy or excessive luggage may require a different vehicle.

If the booked vehicle cannot safely accommodate the luggage supplied by the customer, BELGIUM PRIVATE TOURS may arrange an alternative vehicle subject to availability and additional cost.

BELGIUM PRIVATE TOURS is not responsible for personal belongings left in a vehicle after the service has ended, except where liability cannot legally be excluded.

17. Children & Minors

Parents or legal guardians remain responsible for children travelling with them.

Customers must provide accurate information regarding children and infants at the time of booking.

Child seats or booster seats must be requested in advance and are subject to availability and applicable legal requirements.

Children must comply with applicable passenger safety requirements.

18. Accessibility & Special Requirements

Customers requiring wheelchair access, additional assistance or other special arrangements must inform BELGIUM PRIVATE TOURS before booking or as early as possible.

We will make reasonable efforts to accommodate confirmed requirements.

Accessibility cannot be guaranteed unless it has been expressly confirmed in writing.

The customer is responsible for providing accurate information regarding mobility equipment and accessibility requirements.

19. Passenger Conduct

Passengers must behave respectfully and comply with reasonable safety instructions given by the driver.

The following are prohibited:

  • Aggressive or threatening behaviour
  • Verbal or physical abuse
  • Intentional damage to the vehicle
  • Dangerous behaviour
  • Illegal activity
  • Smoking where prohibited
  • Behaviour that creates a safety risk
  • Behaviour that materially interferes with the driver's ability to operate the vehicle safely

Where passenger behaviour creates a serious safety risk, BELGIUM PRIVATE TOURS or the driver may terminate the service immediately.

In such circumstances, the customer may lose the right to a refund, without prejudice to mandatory rights under applicable law.

The customer may also be responsible for reasonable costs resulting from damage caused to the vehicle or property.

20. Smoking, Alcohol & Damage

Smoking is prohibited in vehicles unless expressly permitted.

Alcohol may only be consumed where expressly permitted and where doing so complies with applicable law and safety requirements.

Customers are responsible for damage caused intentionally or through negligent behaviour by themselves or members of their group.

Reasonable cleaning, repair or replacement costs may be charged to the customer.

21. Driver

The driver is responsible for the safe operation of the vehicle.

The driver may reasonably modify the route, stop or itinerary where necessary for safety, traffic conditions, legal requirements or other operational reasons.

The driver's instructions relating to safety must be followed by all passengers.

Passengers may not request the driver to undertake an unlawful, unsafe or prohibited manoeuvre or activity.

22. Third-Party Services

Some services may involve independent third-party providers, including:

  • Professional guides
  • Attractions
  • Museums
  • Restaurants
  • Event venues
  • Transport operators
  • Coaches
  • Other tourism providers

Where a third party provides a specific component of the service, its own terms and conditions may apply.

BELGIUM PRIVATE TOURS will not be responsible for a third party's acts or omissions to the extent permitted by applicable law, except where BELGIUM PRIVATE TOURS has its own legal responsibility for the relevant service.

23. Attractions & Opening Hours

Entry to attractions is subject to their opening hours, admission rules, capacity restrictions and availability.

BELGIUM PRIVATE TOURS cannot guarantee admission to an attraction unless an entrance ticket has been specifically purchased and confirmed.

Unexpected closures, sold-out admission, special events or restrictions imposed by an attraction may require an itinerary adjustment.

24. Weather

Tours operate in normal weather conditions unless otherwise communicated.

Weather conditions may affect the itinerary or accessibility of certain locations.

BELGIUM PRIVATE TOURS may modify an itinerary where reasonably necessary for safety.

Where the service can still reasonably be performed, adverse weather does not automatically entitle the customer to a refund.

Where exceptional weather makes the service impossible or unsafe, BELGIUM PRIVATE TOURS may offer an alternative date or appropriate solution, subject to the circumstances and applicable law.

25. Force Majeure

BELGIUM PRIVATE TOURS shall not be liable for failure or delay caused by circumstances beyond its reasonable control.

These may include, without limitation:

  • Severe weather
  • Floods
  • Natural disasters
  • War
  • Terrorism
  • Civil unrest
  • Government restrictions
  • Strikes
  • Road closures
  • Major traffic disruption
  • Epidemics or pandemics
  • Security restrictions
  • Public events
  • Accidents
  • Transport disruption
  • Other extraordinary and unavoidable circumstances

Where reasonably possible, we will attempt to provide an alternative solution.

Nothing in this clause limits mandatory rights that apply under applicable law.

26. Cancellation by Belgium Private Tours

BELGIUM PRIVATE TOURS may need to cancel or modify a service in exceptional circumstances.

Where cancellation is caused by circumstances within our reasonable control, we will make reasonable efforts to offer an alternative solution or refund in accordance with the applicable terms and applicable law.

Where cancellation is caused by extraordinary and unavoidable circumstances or force majeure, the customer's rights will be determined by the applicable law and the nature of the service booked.

Where a booking qualifies as a legally regulated package travel arrangement, the mandatory statutory rules applicable to package travel shall prevail over any conflicting provision of these Terms & Conditions. Belgian rules provide specific refund and other rights in such circumstances.

27. Package Travel

Some combinations of travel services may legally qualify as a package travel arrangement under applicable Belgian and European legislation.

A package can, depending on the circumstances, involve a combination of at least two different types of travel services, such as passenger transport, accommodation, vehicle rental or certain tourist services.

Where a booking legally qualifies as package travel, the mandatory statutory rights and obligations applicable to package travel shall apply.

In such cases, these Terms & Conditions shall be interpreted consistently with those mandatory legal requirements.

Where required by law, the customer will receive the applicable pre-contractual information and contractual documentation.

28. Responsibility & Liability

BELGIUM PRIVATE TOURS undertakes to provide its services with reasonable care and professionalism.

Nothing in these Terms & Conditions excludes or limits liability that cannot legally be excluded or limited under applicable law.

Subject to mandatory law, BELGIUM PRIVATE TOURS shall not be liable for loss, delay, damage or additional expense resulting from circumstances outside its reasonable control.

The customer is responsible for ensuring that their travel plans allow sufficient time for unforeseen delays.

29. Personal Belongings

Customers remain responsible for their passports, money, electronic devices, luggage, documents and other personal belongings.

Customers should check the vehicle carefully before leaving.

BELGIUM PRIVATE TOURS will make reasonable efforts to assist in recovering an item left behind, but cannot guarantee recovery.

30. Passports, Visas & Travel Documents

Customers are responsible for ensuring that they possess all documents required for their journey, including where applicable:

  • Passport
  • Visa
  • Residence documents
  • Travel authorisations
  • Health documentation
  • Other documents required by the destination or authorities

BELGIUM PRIVATE TOURS is not responsible for a customer's inability to travel due to missing, expired or invalid documentation.

31. Insurance

Customers are responsible for arranging any travel, cancellation, medical or personal insurance they consider appropriate.

BELGIUM PRIVATE TOURS strongly recommends appropriate travel insurance, particularly for services that are non-refundable close to departure.

Unless expressly stated otherwise, insurance is not included in the price of the service.

32. Complaints

If a customer experiences a problem during a service, they should contact BELGIUM PRIVATE TOURS as soon as reasonably possible.

Where an issue can reasonably be corrected during the service, customers should give us the opportunity to address it.

A written complaint should include:

  • Booking reference
  • Date of service
  • Customer name
  • Description of the issue
  • Relevant photographs or supporting documentation where applicable

Complaints should be submitted to info@belgiumprivatetours.com.

For regulated package travel, any mandatory complaint and assistance procedures applicable under Belgian law remain applicable.

33. Refunds

Where a customer is entitled to a refund under these Terms & Conditions, the refund will normally be made using the original payment method.

Processing time may depend on the payment provider or financial institution.

BELGIUM PRIVATE TOURS is not responsible for delays caused solely by banks, card issuers or payment processors.

34. Promotional Prices & Special Offers

Promotional prices and special offers may be subject to additional conditions.

Unless expressly stated otherwise, promotional offers:

  • Are subject to availability
  • Cannot necessarily be combined with other offers
  • May be limited to specific dates or services
  • May be withdrawn when the stated availability has been reached

The conditions applicable to the promotion will be displayed at the time of booking.

35. Gift Vouchers

Where gift vouchers are offered, their validity, transferability, refund conditions and other applicable terms will be stated at the time of purchase.

Unless expressly stated otherwise, gift vouchers cannot be exchanged for cash.

36. Website Content

BELGIUM PRIVATE TOURS makes reasonable efforts to ensure that information published on the website is accurate and up to date.

However, descriptions, photographs, itineraries, vehicle images, estimated journey times and other website information may change.

Photographs may be illustrative and may not represent the exact vehicle, driver or location used on a particular booking.

37. Intellectual Property

All website content, including text, photographs, graphics, logos, designs and other materials, is protected by applicable intellectual property laws.

No content may be copied, reproduced, distributed, modified or commercially exploited without prior written permission from BELGIUM PRIVATE TOURS or the relevant rights holder.

The remaining provisions shall remain in full force and effect.

Failure by BELGIUM PRIVATE TOURS to enforce any provision of these Terms & Conditions shall not constitute a waiver of its right to enforce that provision at a later date.

The version applicable to a booking will generally be the version accepted at the time the booking is confirmed, subject to any mandatory legal requirements.

These Terms & Conditions are governed by the applicable laws of Belgium, subject to mandatory consumer protection legislation.

Nothing in these Terms & Conditions is intended to deprive a consumer of rights that cannot legally be excluded or restricted.

Where applicable mandatory law provides consumers with rights before another competent court or under another mandatory legal regime, those rights remain unaffected.
